Firstly it should be remembered that an event regardless of its platform only ever has one chance of success. So strategic planning is paramount.
Always keeping in mind the idea; leave an audience a positive impression about your product, service or reason for the event.
In order to achieve a budget spend and create an effective impression for your event, it is important in your planning to ascertain:
NUMBER ONE: Set a budget that is realistic, that will guarantee you achieve your goals with the event.
TWO: Set out a full comprehensive brief explaining and outlining for the event and its goals.
THREE: The question needs to be asked; what is the events purpose and what is the expected out come? Strategic thinking and proper planning is always the
foundation of running a successful event.
The following items are a sample for consideration:
* What is the purpose of holding the event
* What type of event will it be
* Where is the event to be held
* Will there be more than one location
* What will be the duration of the event
* Are there any International guests
* Are travel arrangements required fro guests
* Will the guests require transfers or transportation from airports - Rail etc?
* Will guests require transport during the event
* Will the guests require accommodation - Style / type
* Is there a budget for accommodation
* Will drivers, hire car or rent a cars or taxis be required
* The number of guests
* Are there children to be catered for
* Is there a dress requirement on particular occasions
* Will stationary be required
* Do you require bookings to be made for guest outing days
* Will tour guides be required pre or post tours
* Are translators required or multi-lingual facilities
* Will you require printing and or media exposure
* Will you require registration facilities and if so what type
* Are there any freight requirements
* Do you need to use guest speakers, entertainers, high profile celebrities
* Most events require mailing, emailing, to contact envited guests
* Allocation of funds or your budget spend
* Content and presentation requirements video, over head projections
* What content will you require of seminars, training, meetings and or workshops
* AV requirements
* Will awards be presented
* Will you be holding gala Dinners or cocktail parties
* What catering requirements will there be
* Will you require a post analysis report
